Senior Payroll Specialist
We are seeking an experienced and detail-driven Senior Payroll Specialist to take ownership of payroll operations across our multiple entities: Malta, our headquarters and additional locations (Spain, Gibraltar, The Netherlands, Sweden, Bulgaria, Canada).
This is a senior individual-contributor role responsible for ensuring accurate, compliant, and timely payroll delivery across jurisdictions. You will act as the group payroll subject-matter expert, working closely with local HRBPs, Finance, and external providers to ensure payroll data integrity, statutory compliance, and smooth end-to-end payroll processes.
The role is fully dedicated to payroll and statutory compensation matters, with HR administration and employee lifecycle activities managed by local HR teams.
What will you be doing?
Multi-Country Payroll Ownership
Own and manage end-to-end payroll processing across Malta, Spain, The Netherlands, Gibraltar and Canada entities.
Ensure accurate processing of salaries, variable pay, bonuses, statutory payments, and deductions.
Validate payroll outputs and approvals prior to payment release.
Prepare payroll files for payment and settlement to employees and authorities.
Compliance & Statutory Expertise
Ensure compliance with all local payroll, tax, and social security regulations in each jurisdiction.
Maintain up-to-date knowledge of legislative changes across our locations.
Oversee statutory reporting, filings, and year-end payroll obligations.
Support audits and regulatory reviews relating to payroll and employee compensation.
Assist with the preparation and submission of employee tax returns and statutory filings, liaising with local payroll providers as required.
In collaboration with finance oversee monthly and annual social security and tax calculations and reconciliations across jurisdictions.
Manage Malta statutory filings (e.g., FS5 and FS7) and coordinate equivalent submissions with providers in other countries.
Payroll Data & Controls
Maintain accurate payroll data including salaries, benefits, tax status, and contractual changes.
Implement and monitor payroll controls, reconciliations, and validation checks.
Partner with HRBPs to ensure HRIS and payroll data alignment.
Investigate and resolve payroll discrepancies and complex cases.
Maintain employee payroll records reflecting compensation changes, benefits eligibility, and organisational changes.
Finance & Reporting
Partner with Finance on payroll accounting, reconciliations, and cost reporting.
Prepare payroll journals, accruals, and variance analysis.
Provide payroll reports and headcount cost data to Finance and leadership.
Support budgeting and forecasting with payroll cost insights.
Prepare monthly and annual payroll-related reports for management and auditors.
Prepare journal entries for payroll, including capitalised salary costs, in the accounting system.
Stakeholder & Vendor Management
Act as the primary contact for payroll providers across jurisdictions.
Work closely with local HR teams (including Stockholm & Sofia) to ensure data accuracy.
Respond to complex payroll queries from employees and management.
Drive continuous improvement in payroll processes and provider performance.
Act as first point of contact for payroll-related employee and stakeholder queries.
Maintain close working relationships with HR teams to ensure smooth payroll cycle execution.
Coordinate with external providers to ensure compensation changes are reflected in line with local legislation.
Who are you?
Significant hands-on payroll experience across multiple European countries.
Strong expertise in payroll legislation and statutory compliance (Malta and/or Spain highly desirable).
Proven experience managing payroll through external providers in a multinational environment.
Advanced attention to detail and strong data validation mindset.
Confident working autonomously in a senior individual-contributor role.
Excellent stakeholder management across HR, Finance, and external partners.
High level of integrity and confidentiality with compensation data.
Fluent English.
